Round Table RT24 Larvik, the organising committee of Euro Meeting 2027, uses the details you give us: your name, club, country, contact details, partner name, accommodation choice, dietary needs, t-shirt size and travel information. We use these only to organise registration and payment, home hosting, catering, transport and event communication.

Core application records and uploaded files are stored in Microsoft Azure in Norway. Event emails are sent through Azure Communication Services, configured with a European data location. Delivered emails are also stored and processed by your email provider. Microsoft processes data on our behalf under the applicable data processing terms. Payment is by IBAN bank transfer. The committee matches your transfer using its payment reference and records receipt in the app. The app does not collect card details or initiate bank transfers. Your arrival details are shared with the transport team and your host.

Loading the interactive event map connects your browser to Microsoft Azure Maps. Map data comes from its European endpoint; language and style files come from Microsoft's global static service. Microsoft receives your IP address and the map areas you request. We show public event locations only; the map does not request your device location or show private host addresses. You can use the place list without loading the interactive map. When an administrator searches for a public event location, the search text is sent to Azure Maps.

Dietary needs and allergies can reveal health or religious information. We only keep them with your explicit consent (GDPR art. 9) and use them only to cater for you: they are shared with the caterer, your host family and the crew serving meals and running the activities you sign up for. You can withdraw consent in your profile. We then remove the information.

Your email and phone are shown to other participants only if you consent, and you can change that at any time in your profile. On 15 May 2028, within 12 months of the event, we delete or anonymise all participant data. Issued invoices and credit notes have a separate accounting retention period: the billing name and address, document number, items, amounts and payment details remain available for that period. We then remove the billing name, address and free-text credit reason. Other retained accounting records contain amounts, payment status, historical payment references and the committee's payment notes. Anonymous statistics may also remain.

For coordination with participating clubs, the committee keeps contact details for a club's chairman or main contact, supplied by the club or checked in Tabler.World. These records can include a name, role, email, phone number, term of office and source link. Only admins can see them. They are removed on 15 May 2028; contact the committee if a record needs correcting or removing.
